Union Pay Rate CSV Upload
There's no self-service bulk rate upload — how union rates actually get set and where to look them up
This feature doesn't exist
An earlier version of this page described uploading union pay rates yourself via CSV, through a "Settings → Cost Code Configuration" screen. That screen doesn't exist, and there's no self-service bulk rate upload anywhere in the product today. This page explains how union rates actually get set, and where to look them up instead.
How union rates actually get set
Union pay rates, minimums, dues, and fringe benefit rules are maintained by Greenroom's engineering team directly from each union's signed agreement — they're loaded in as part of how a union and agreement type get configured, not uploaded or edited by production staff through the app. There's no "upload a CSV to update rates" workflow, and no "Cost Code Configuration" settings screen.
A rule can carry more than a single figure: a percentage of a basis, an exact fraction of one, or — since late August 2026 — the greater of two formulas against two different bases, which is how IATSE Pink's Holiday pay ("the greater of 1/6 of actual weekly salary or 1.5 × 1/6 of minimum scale") is now held as data rather than as a note beside a zero. Where a rule is a comparison like that, the run's Add menu shows the arithmetic next to the figure — see Adding Employees.
If a rate looks wrong, or a union contract has just changed and the new numbers aren't reflected yet, contact your Greenroom account contact rather than looking for an upload option — there isn't a version of this you can fix yourself.
A different CSV import exists, but it isn't this
Settings → QuickBooks does now have a real CSV upload — for importing your chart of accounts, so your GL codes map to Greenroom's payroll items. It has nothing to do with union pay rates; don't confuse the two if you spot a CSV importer elsewhere in the app.
Where to actually look up rates
Two places show you real, current rate information:

Neither of these is an upload feature — they're both read-only for your team.
What you do control
Union Setup lets you choose the unions your production runs under and the contract for each. Once that's set, their rates apply automatically wherever a payee is assigned that union and agreement — you don't separately configure the rate values yourself.
Every rate change is traceable to a document
When Greenroom publishes a new version of a union's rules, the person doing it has to name the source — the CBA, memorandum, or exhibit the rates come from, in the form "SDC/OBL MOA Art XI, executed 5/6/2025". It isn't optional and it isn't prefilled from the previous version: a rate change is a money change, and the publish is refused without it.
That citation is recorded against every rate in that version, so if a number on a payee's pay ever looks wrong, there's a specific document behind it to check rather than an unattributed edit.
The citation is shown on the draft itself — a Source document line above the rules, reading either the citation or a No citation recorded warning for a column that never had one (every rate set loaded by Greenroom's own seed and migration process starts without one, and stays that way until someone adds it). A typo in it can be corrected in place on the draft, without discarding the draft and re-entering its rates; once the version is published the citation is frozen with the rates, since the document backing a live rate must not change after the fact. Every rate edit on a draft, and the publish itself, records the citation as it stood at that moment in the audit trail.
Before a draft is published, Greenroom also previews its impact on a real sample payee — current rules against the draft — as one table per engagement shape the edited rules price differently: a full eight-performance week, a part week, an hourly engagement, and a week reporting no counts at all, each stating how it was constructed. A shape that moves no money says so rather than being dropped, because "this edit changes nothing on an hourly engagement" is an answer and a missing table is not.
Common issues
I need to update a rate for a new contract period
This isn't self-service. Contact your Greenroom account contact with the new contract details — engineering updates the underlying rate configuration on your behalf.
A rate on a payee's pay doesn't match what I expect
Check Union Studio in the nav and the Union Rate Reference page first to confirm what the current configured rate actually is (rates can change on an effective date you may not be tracking). If it still looks wrong after that, contact support rather than assuming you can correct it yourself.
